Billing & Plans

This page covers Waafir plans, subscription setup, plan changes, and ongoing subscription management. Billing is administered by an organisation owner from Settings → Billing.

Waafir uses Stripe for payment and subscription management. Card details are never entered into Waafir. Checkout and subscription management both occur on Stripe's hosted, PCI-compliant pages.

Plans

Waafir offers three plans. They differ in storage allowance and seat count (team members):

  • Starter — one seat and a small storage allowance. Suited to a single operator running one focused data room.
  • Premium — a small team of seats and a larger storage allowance. The standard choice for a deal team running one or more rooms in parallel.
  • Enterprise — a high seat count (minimum 25 users) and a large storage allowance. Suited to organisations running many rooms or onboarding a wide internal team.

Every plan includes the core Waafir feature set: the secure document viewer, the AI workforce, investor access controls, and engagement analytics. The base plans gate capacity (seats and storage), not these core features. A small set of advanced capabilities are sold separately as add-ons (see Add-ons below) and are turned on only for the organisations and data rooms that need them.

Prices are not published in this documentation. Pricing changes over time, and the authoritative figure is always the one shown in the product. For current pricing and any introductory offers, open Settings → Billing in the app or visit the pricing section of the Waafir marketing site. Those figures are canonical; quotes from any other source may be out of date.

Subscribing for the first time

A new organisation has no paid subscription. To start one:

  1. Sign in as an organisation owner and open Settings → Billing.
  2. Review the available plans and select the one that matches your team size and expected storage.
  3. Select the plan to begin checkout. Waafir directs you to Stripe's secure checkout page, pre-filled with the chosen plan.
  4. Enter payment details on Stripe and confirm. On completion, you return to Waafir and the subscription becomes active.

The billing email — the destination for receipts and renewal notices — is taken from your organisation settings. Additional addresses can be configured to be copied on billing correspondence.

Switching plans

You can change plans at any time from Settings → Billing. A plan change adjusts seat and storage limits to match the new plan. Before moving to a plan with a smaller seat or storage allowance, confirm that current usage fits within the new limits. Waafir enforces seat limits on the new plan, so an over-allocated team must be brought within range.

Plan changes and proration are handled by Stripe. The exact billing adjustment for a mid-cycle change — a credit, a charge, or a change effective at the next renewal — is shown during the change and on your Stripe invoices.

Managing your subscription

With an active subscription, Settings → Billing provides an option to open the customer portal, Stripe's hosted billing portal. In the portal you can:

  • Update the card or payment method on file.
  • Download past invoices and receipts.
  • View your renewal date and current plan.
  • Cancel the subscription.

The customer portal is the canonical location for payment details and invoices. Waafir does not duplicate these controls in its own UI; keeping them on Stripe is what allows Waafir to avoid handling card data directly.

Failed payments and lapsed subscriptions

A failed renewal payment does not end the subscription immediately. Waafir sends reminder emails to your billing address before any change to access takes effect, allowing time to update the payment method in the customer portal. If the subscription ultimately lapses, data is not deleted; access is reduced until billing is restored. Update the card in the customer portal to return the subscription to active.

Storage usage

Each plan includes a storage allowance. Current usage against that allowance is displayed on Settings → Billing, indicating remaining headroom. Storage counts documents uploaded across your data rooms. When approaching the limit, move to a plan with a larger allowance or remove material no longer required in the room.

Add-ons

Beyond the base plan, Waafir offers optional add-ons for advanced capabilities that not every team needs. Add-ons are billed separately through the same Stripe subscription and are turned on per organisation or per data room. The current add-ons are:

  • Monitoring — per data room. Load a deal's loan tape and link portfolios to get pricing, risk, and portfolio chart packs over the underlying assets, with exportable reporting.
  • Transactions — per organisation. Structured offer / acceptance / closing deal workflows with KYC-gated participant onboarding and a full audit trail across every signoff. One subscription covers every data room in the org.
  • Investor Materials — per data room. AI-generated pitch decks, business plans, and financial models from the room's own documents, plus the Investor Reports surface for keeping investors informed.
  • Workspace storage — per user. Expand a user's personal-workspace storage in stacking 5 GB units.

You manage add-ons from the Add-ons hub, where each shows what it does, its current price, and a self-serve purchase or cancel control. The authoritative price is always the one shown in the app and on the pricing page of the marketing site. When an add-on is not active, the capabilities it gates are shown as a locked upgrade prompt rather than hidden.

What the base plan does not cover

The following are deliberately outside the base plan:

  • No metered AI line item. The core AI workforce — summaries, Q&A, redaction, translation — is included in every plan. There is no usage meter that converts these core AI features into a variable bill.
  • Advanced capabilities are add-ons. Portfolio monitoring, the transactions deal-execution engine, investor materials, and extra workspace storage are sold as the add-ons described above rather than bundled into the base plan. The base plan is not metered per data room — creating rooms within your plan's seat and storage allowance does not change the base subscription. Some add-ons are, however, enabled per data room (Monitoring and Investor Materials), so switching one on for a specific room adds its charge for that room.
